A successful prototype is a starting point for production release, not a complete handoff package by itself. Record the approved geometry, construction, finish and inspection requirements, together with any accepted deviations. The goal is to make the next batch reproducible without asking the supplier to reconstruct how the prototype was made.

Close the development questions
List the issues raised during trial fitting and identify how each was resolved. Distinguish changes incorporated into the final design from temporary adjustments made only to the prototype. If a hand-fitted sample was accepted, decide how that interface will be controlled for a production batch.
Freeze the required deliverables
Create a release set with the governing drawing, part identification, finish reference and inspection plan. Specify any required records and packing instructions. Make clear whether the production order includes only components or an assembled and checked set; the prototype delivery format may not answer that question.
Define the change process
Ask the supplier to flag proposed changes to material, tooling, processes or subcontracted operations that affect the agreed specification. Identify who approves the change and what evidence is required. This protects continuity without assuming that every repeat order is identical simply because the part name has stayed the same.
