A custom-part order should say whether it buys a component, an assembled item, tooling or development work. Clear deliverables prevent a reasonable supplier quotation from being interpreted as a wider engineering commitment.

List the tangible items and records

Identify the parts, quantities, drawings and any hardware included. List tooling ownership and delivery separately if a mould is involved. Add the inspection report, material identification or other agreed records as explicit deliverables rather than assuming they accompany every order.

Separate review work from manufacture

If design review, testing or assembly support is requested, describe that work and its output. Record what must be approved before production begins. A sample delivery is not the same as acceptance of a complete system, and a supplier’s ability to machine a shape is not proof of the final application.

Example scenario

A quotation includes mould manufacture and first samples but does not say whether the mould is delivered to the buyer. Resolve ownership, storage and delivery as separate terms, instead of assuming that paying a tooling charge transfers the physical tool.
